Role Summary:

Our Mississauga branch requires a positive, self-motivated and team-oriented PMA (Preventative Maintenance Agreement) Coordinator to support all aspects of the administration of our Fire PMA Service department for the Mississauga branches.


Key Job Responsibilities:

  • Preparing and implementing schedules for fire alarm and sprinkler inspections, deficiencies, service and small contracts at the prescribed intervals to meet scheduling KPI’s.
  • Effectively coordinate with our field staff, customers, contracts, vendors and external resources on date/time and details regarding upcoming field service appointments.
  • Ensure all scheduled jobs are verified with customer at least one business day in advance.
  • Maintain appointment, software, and systems records to ensure they are accurate and updated (contact person name, number and email, scope, equipment and tooling needs, reports, etc.).
  • Ensure field service staff are effectively and efficiently scheduled, appointment scopes align with technician/fitter skills required to complete the work.
  • Work with Service Managers and Field Service Staff to ensure appropriate time is allowed for the jobs to be completed, with on-time and error free inspection, service, and repair rates, with minimal return visits.
  • Create, track, maintain, verify, and close all service appointment in our ERP and supporting software.
  • Create, track, maintain, and verify all services schedules in our ERP and supporting software.
  • Provide necessary information to the team to close out jobs.
  • Planning, scheduling, and detailed time management skills are a must.
  • Strong attention to details and record keeping focus to ensure divisions scheduling needs.
  • Able to process documentation and understand completeness formatting and consistency requirements.
  • Strong communication skills through both written and oral.


Qualifications:

  • Post-Secondary education in Office Administration or a related discipline preferred
  • 5+ years of experience in an administrative/service coordination role
  • 2+ years of experience in Fire and Life Safety dispatching will be valued
  • Computer skills, Microsoft Office (Word, Excel)
